Terms & Conditions

1. Lesson Options & Pricing

Octave8 Music Academy offers the following lesson formats:

  • Solo (1:1 Private Lesson): $50 per session

  • Duo Lesson (2 students): $35 per student, per session

  • Trio Lesson (3 students): $30 per student, per session

Group Lesson Requirements

  • Duo and Trio lessons require the correct number of students to commence.

  • Students must have a confirmed partner/group at the start of lessons.

If a group cannot be formed:

  • Students may commence as Solo lessons (charged at Solo rate) until a group is available, or

  • Be placed on a waitlist until a suitable group is formed

If a Group Changes

  • If a group reduces in size, remaining students may continue at the group rate for the remainder of the term

  • If a replacement student is not found by the following term, lessons will revert to Solo pricing or be restructured

 

2. Trial Lessons

  • Trial lessons are arranged prior to enrolment

  • Maximum of two trial lessons per student

  • Trials must be for different instruments

After the Trial

  • Enrolment must be completed within 24 hours to secure the lesson time

  • If not completed, the time may be released

Trial Fees

  • Trial lessons are charged only upon enrolment

  • No charge applies if you choose not to continue

Holding Deposit

  • A $50 holding deposit may secure a time for up to 4 weeks

  • Non-refundable, but deducted from fees upon enrolment

 

3. Enrolment & Payments

  • Enrolment requires:

    • Registration Form

    • Direct Debit Form

  • Fees:

    • Paid via direct debit only

    • Available as weekly or term payments

    • Calculated pro rata if starting mid-term

 

4. Registration Fee

  • Annual Registration Fee: $30 per student

  • Charged:

    • At enrolment (Terms 1–3), or

    • At pre-registration (Term 4)

 

5. Learning Materials & Books

All materials are:

  • Selected by teachers

  • Supplied by Octave8

Process

  • Books ordered via Belfield Music

  • Delivered during lessons

  • Cost added to direct debit + $5 admin fee per book

Important

  • Most books: $15–$40

  • Parent approval required above $40

  • External books are not permitted

 

6. Discounts

A. Multiple Students (Family) – Solo Only

  • 2nd child: 15% off

  • 3rd child: 20% off

  • 4th child: 25% off

B. Multiple Instruments – Solo Only

  • Same structure as above

C. Refer a Friend

  • 5% off one term per referral

  • Up to 20% maximum discount

D. Creative Kids Vouchers

  • Must be submitted before enrolment begins

  • Difficult to apply after payments commence

 

7. Overdue Payments

  • Failed payments incur a $4.40 fee per attempt

  • After 2 failed payments, lessons may be paused

 

8. Arrival & Lesson Timing

  • Arrive 1–2 minutes early

  • Be mindful of shared teaching spaces

 

9. Absences & Make-Up Policy

Student Absence

  • Lessons are non-refundable and non-transferable

  • Solo (1-1) students are allowed a video make up lesson provided notice is given for absence

  • Duo & Trio do not receive a 'make up' or refund for not attending a lesson

Teacher/Academy Cancellation

Students will receive:

  • A make-up lesson, or

  • A credit/refund

10. Pre-Registration (Following Year)

  • Opens Week 7, Term 4

  • Required to retain lesson time

  • Failure to register may result in loss of place

 

11. Cancellation Policy

During Term

  • Minimum 2 weeks written notice

End of Term

  • Notice required by Week 8

Late Notice Fee

  • Duo/Trio: 2 weeks of lessons

  • Solo: 1 week of lessons

 

12. During the Lesson

  • Parents may:

    • Stay in the lesson, or

    • Remain on-site

  • Must be mindful not to disrupt the learning environment

 

13. Headphones (Keyboard Students)

  • Required for Duo/Trio keyboard lessons

  • 6.5mm jack preferred (adapter acceptable)

 

14. Home Practice Policy

  • Minimum expectation:

    • 3 days per week

    • 10 minutes per session

 

15. Marketing & Media

  • Photos/videos may be used for promotional purposes

  • No personal details disclosed

  • Opt-out available via email

 

16. Child Protection & Responsibility

  • All teachers hold valid Working With Children Checks

  • Parents must remain responsible before, during and after lessons

 

17. Communication Policy

  • All admin matters must go through Head Office

  • Teachers do not provide personal contact details

 

18. Complaints & Feedback

Octave8 values feedback from all students, families, carers and staff. Our aim is to ensure fairness and continual improvement.

We are committed to handling all feedback respectfully, confidentially and in a timely manner.

Providing feedback or lodging a complaint will not affect the quality of service received.

19. Student Recitals & Performances

Octave8 offers four student recitals each year, held at the end of each term.

  • Small, intimate and supportive events

  • Designed to build confidence

  • Participation is optional but highly encouraged

Further details will be provided each term.

 

20. Examinations

Available through:

  • AMEB

  • RockSchool

  • Trinity College London

  • Octave8 Internal Exams

  • Exams are optional

  • Higher grades may contribute to university entry pathways

 

Octave8 Music Academy Privacy Policy

Octave8 respects the privacy of all our friends, visitors, students, business contacts and colleagues. This Privacy Policy outlines why we may request personal information and how this information will be handled.

1. Octave8 will never share confidential information with any third party without permission.

2. What personal information do we collect and why:

The nature of the personal information that we collect will depend on the circumstances of the collection and the type of service requested from us. For example, when booking a class or individual lesson, we will need to collect personal information such as a first and last name, telephone number, email address and possibly credit card details.

3. Your Personal Information Sharing for Purposes of Book Purchase Only:

Octave8 Music Academy has a commercial partnership with Belfield Music whereby they will be involved in the ordering of new/ additional student music books. We will be sharing information about our students and families, including Student name, email address and student/ parent mobile number to complete orders for books used during Octave8 music lessons. Once an order is ready, Belfield Music will contact students/parents directly via email or mobile phone to notify them, request payment and organise delivery/ pick up of the order. Please note the collection of this information and sharing with Belfield Music is solely for the purpose of book orders and purchases specifically requested by Octave8 teachers, this information is for no other purpose and as such the information will not be used in sales targeting or similar promotions without the express consent of the parent. 

4. If students sign up for email-delivered promotions, we will also store an email address:

We may use personal information, unless advised otherwise, to send notifications of updates to our website or events that we think may be of interest to students/parents. If you do not wish for this information to be used for any of these purposes, please contact us via email.

We may collect personal information when you contact us by email, telephone, via correspondence by letter or face-to-face.

Octave8 undertakes to protect all personal information by taking reasonable steps to ensure this information is held in a secure facility. Access to personal information is limited to the business proprietor and key staff members only. We are strongly committed to safeguarding personal information and treat it at all times as confidential.

For the convenience of our students/parents, our website and email newsletters may contain links to other websites. Octave8 is not responsible for the privacy practices of the proprietors of these sites and we recommend that students/parents read the privacy policies of each website they visit before disclosing any personal information.

8. How can students/parents’ access and update their personal information:

If students/parents would like to update information that we hold which is inaccurate, incomplete or out-of-date, or if they wish to change their privacy preferences at any time, please contact us via email with the request.​

Note: These Terms & Conditions may be updated from time to time to reflect improvements to our processes. Continued enrolment at Octave8 Music Academy constitutes acceptance of any such updates.
